Case study · AI in our own stores
Your team keeps the pen.
The books keep themselves.
Our three phone repair stores in Sydney write every sale in a paper ledger. Until September 2026 that was the whole system: the books lived in notebooks, store totals were added up by hand, and restocking ran from memory. Now staff photograph the page at closing. AI reads it, checks it against itself and the page’s own totals, and files it into the books. Staff only look at the lines it isn’t sure about.

Three real pages, as the AI read them
Pick a page. You’ll see the AI’s reading with the lines it flagged, then the same page after a person checked only those lines.

The AI’s accessory lines add up to $420, exactly what’s written at the bottom of the column. A totals check would pass this page. But five amounts sit on the wrong lines, and a cable name lost a letter. A second model read the page on its own and disagreed on all six of those lines, so they were flagged, along with two more it was unsure about. The three repair lines it agreed on were left alone.
| Type | Line on the page | Amount | Check |
|---|---|---|---|
| Acc | ip11 PM 4S S/P | $45.00 | Flagged |

Why one AI isn’t enough
The totals can match while the lines are wrong
When an amount is read onto the wrong line, it usually cancels out. The column still adds up, and a simple check passes it.
So every page is read twice, by two different models working on their own. Where they disagree on a line, it’s flagged for a person. On the Thornleigh page above, all six lines that were read wrong were among the eight it flagged.
It learns this shop’s handwriting
Every misread becomes a rule
We check the readings each day and note what went wrong. Each note becomes a rule the reader follows from then on. A few of them:
A $ written against an amount is a dollar sign, never the restock star, even when every line has one.
A handwritten 8 looks like a 3. Models run from ip6 to ip18, so the digit is read as written, not guessed.
Shop shorthand is kept in the books but spelled out on orders: F/S is a front screen, B/G back glass, B/C back cover.
Screen protectors come in four types. “45”, “US” or “XS” before S/P is the 4S type; “100” or “IOD” is 10D.
A date without a year gets the year nearest today, so last week’s page isn’t filed a year out.
All three stores’ pages are uploaded together. The initial in the corner files each one; a page with none waits for a person to choose.
What happens to a page
From a photo to the books in under a minute
- Photograph
Staff snap the day’s pages on a phone at closing. Nothing new to learn.
- Read twice
Two models read each line, the star marks, the store letter and the totals.
- Cross-check
Lines must add up to the written totals, cash plus card must match, and the two readings must agree.
- Review the flags
Clean days are saved in one tap. A person only opens pages with flagged lines.
- Into the books
The day joins the sales ledger, and each ★ line raises a restock order.
Where else this fits
Any business with paper that works
If your team has a docket book, a job card or a whiteboard they won’t give up, we can read it into your system without changing how they work.
What does your team still write by hand?
Send us a photo of the form. In a 30-minute call we’ll show you what an AI reading of it would look like, and what it would take.
